Event Registration Agreement

This Event Registration Agreement (“Agreement”) applies to clinics, workshops, boot camps, private sessions, training programs, and other events offered by Soul Search Equine

and Wylene Wilson, wherever held.

By registering for, paying for, or attending an event, you acknowledge that you have read, understood, and agree to the terms of this Agreement.

Registration and Payment

Registration is considered complete once the required payment or deposit has been received.

Participants are responsible for selecting the correct event, clinic, session, or registration option when registering.

Any remaining balance must be paid according to the payment terms provided for the specific event. Deposits are nonrefundable unless otherwise stated in writing for a particular event.

Cancellations, Transfers, and Rescheduling

Cancellation, rescheduling, transfer, and refund terms may vary depending on the event or service.

Any additional terms listed on the event registration page, booking confirmation, invoice, or other written event information are considered part of this Agreement.

Private sessions or individually scheduled services may require advance notice to cancel or reschedule. Failure to provide the required notice may result in forfeiture of payment, a cancellation fee, or refusal to reschedule.

Please refer to the Refund Policy for additional information.

Training Programs

For purposes of this Agreement, clinics, workshops, boot camps, private sessions, training programs, and other instructional events offered by Wylene Wilson are collectively referred to as “Training Programs.”

Training Programs may include riders, horse owners, students, clients, auditors, spectators, and other registered participants.

Equine Activities and Assumption of Risk

Participants understand that horses and equine activities involve inherent risks. Horses are living animals and may behave unpredictably.

Risks associated with equine activities may include, but are not limited to, falls, kicks, bites, collisions, sudden movement, reactions to sounds or objects, interaction with other horses or participants, equipment failure, and conditions of the arena, trail, facility, or surrounding property.

By choosing to participate in an equine activity, participants acknowledge and voluntarily assume the inherent risks associated with being around, handling, riding, working with, or observing horses.

Participants are responsible for determining whether they are physically and personally able to participate in the activity they have chosen.

Nothing in this Agreement is intended to waive rights or responsibilities that cannot legally be waived under applicable law. Additional equine liability notices, releases, or acknowledgments may be required depending on the state, venue, or event.

Participant Responsibility

Participants agree to follow reasonable instructions provided by Wylene Wilson, Soul Search Equine, event staff, and the host venue.

Participants are responsible for communicating any concerns, limitations, injuries, circumstances, or other information that may affect their ability to participate safely.

Each participant remains responsible for their own decisions and actions during an event.

Horse Responsibility

Participants bringing a horse are responsible for the care, management, health, transportation, equipment, and suitability of that horse for the event.

Soul Search Equine or Wylene Wilson may restrict a horse’s participation when there is a reasonable safety or welfare concern.

Minors

Participants under the age of 18 must have permission from a parent or legal guardian to participate.

A parent or legal guardian may be required to complete or sign additional registration forms, liability releases, or acknowledgments before the minor may participate.

Confidential Information

During a Training Program, participants may receive or observe information related to Wylene Wilson’s training methods, techniques, materials, business practices, and other information not intended for public distribution (“Confidential Information”).

Confidential Information may include training methods and techniques, instructional materials, business strategies, financial information, and client or customer information.

Participants agree not to copy, reproduce, distribute, disclose, teach, sell, publish, or otherwise use Confidential Information outside their participation in the Training Program without prior written permission from Soul Search Equine or Wylene Wilson.

Video Recording

Video recording of Training Programs, including instruction, demonstrations, schooling, training, or other portions of an event, is not permitted unless prior permission has been given by Wylene Wilson or Soul Search Equine.

Permission to take personal photographs does not automatically include permission to record video.

Exceptions to Confidentiality

Confidentiality requirements do not apply to information that:

  • Is publicly available through no action of the participant

  • Was already lawfully known by the participant before disclosure

  • Is lawfully received from another source without a confidentiality obligation

  • Must be disclosed because of a legal requirement, regulation, or court order

When legally permitted, participants agree to provide reasonable notice of a legally required disclosure.

Confidentiality Period

The confidentiality obligations contained in this Agreement remain in effect during the Training Program and for five years following completion of the Training Program.

Photo and Media Release

Soul Search Equine and Wylene Wilson may photograph or record portions of events for use on websites, social media, advertising, educational materials, and other promotional content.

If you do not want your identifiable image or likeness used for these purposes, you must notify Soul Search Equine in writing before the event.

Reasonable efforts will be made to honor advance opt-out requests.

Lifemanship Coaching Disclaimer

Some Training Programs may include Lifemanship coaching, personal-development discussions, or other educational guidance.

Wylene Wilson is not acting as a licensed therapist, counselor, psychologist, physician, or other medical or mental-health professional.

Lifemanship coaching does not provide medical or psychological diagnosis or treatment and is not a substitute for professional medical or mental-health care.

Participants are responsible for determining whether participation is appropriate for them.

Insurance

Participants are responsible for maintaining any personal health, accident, equine, property, or liability insurance they believe appropriate for their circumstances.

Participation in a Training Program does not guarantee coverage under any insurance policy held by Soul Search Equine, Wylene Wilson, a host venue, or another participant.

Removal From an Event

Soul Search Equine and Wylene Wilson reserve the right to restrict or end a participant’s involvement in an event when reasonably necessary because of unsafe behavior, disruption, failure to follow instructions or event requirements, mistreatment of an animal, or other conduct that may interfere with the safety or operation of the event.

Removal from an event does not automatically create a right to a refund.

Event Changes and Circumstances Beyond Our Control

Event schedules, locations, instructors, activities, or other details may occasionally need to change.

Soul Search Equine and Wylene Wilson are not responsible for delays, cancellations, or modifications caused by circumstances beyond their reasonable control, including severe weather, natural disasters, illness or injury involving a person or horse, facility issues, travel disruptions, government restrictions, or other emergencies.

When possible, reasonable efforts will be made to reschedule the event or provide an alternative consistent with the applicable event and refund terms.

Unauthorized Use or Disclosure

Unauthorized use or disclosure of Confidential Information may cause harm to Soul Search Equine or Wylene Wilson.

Soul Search Equine and Wylene Wilson reserve the right to pursue remedies available under applicable law when Confidential Information is used or disclosed without authorization.

Severability

If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions will continue to apply to the fullest extent permitted by law.

Entire Agreement

This Agreement, together with the applicable event registration information, booking confirmation, Refund Policy, and any additional written requirements provided for a specific event, constitutes the agreement relating to the matters addressed here.

The version of this Agreement in effect at the time of registration will apply to that registration.

Applicable Law and State-Specific Equine Liability Notices

This Agreement is subject to applicable federal, state, and local law.

Equine and farm-animal activity laws, required warnings, releases, and liability protections vary by state. Because Soul Search Equine may hold clinics, Training Programs, and other events in multiple states, additional notices, acknowledgments, or releases may apply depending on the location of a particular event.

Any state-specific notice, waiver, release, or other requirement provided on an event registration page, booking confirmation, participant form, or at the event venue will be considered part of the registration requirements for that event.

For events held in Texas, applicable Texas farm-animal activity laws and required notices will apply.

Agreement to These Terms

By completing registration, submitting payment, or attending an event covered by this Agreement, you acknowledge that you have read, understood, and agree to the Event Registration Agreement and applicable event policies.
